A complete phone system, without another system to manage

A firm does not need a gadget that shuffles calls around. It needs a real phone system that fits how the office already works.

People need a firm number that rings the right place, on a desk phone or an app or both. Reception needs to transfer, hold, conference, and text from that number without thinking about the vendor. Attorneys need to be reachable on the firm line when they are with a client, working remotely, or in court, and left alone when they should be left alone. Voicemail should show up where people already read messages. After hours should sound closed. If the office internet goes down, you should already know what happens next, because someone walked you through it.

Clients do not try twice the way a colleague might. Clio’s 2024 secret-shopper work reached a live person at only 40 percent of law firms. Forty-eight percent were unreachable by phone. Some of that is staffing. The main number rings the people who are supposed to answer. If the desk is free, reception handles the call the way they already do: transfer, hold, a message, a text from the firm line. If the desk is already on a call, the next caller does not sit through endless ringing or land in the wrong voicemail. We decide with you what should happen instead: another person, a short wait, someone away from the desk, or a message in email.

Attorneys stay on the same system without turning a personal cell into the office’s main number. When they should be reached, calls can follow them to the app or the phone they actually use. When they shouldn’t be interrupted, they aren’t. Reception can still get through when something really does need their attention.

After hours, callers hear a closed greeting and the call goes where you decided it should go. Night sounds like night. The office does not accidentally sound open because nobody remembered to change a setting.

Switching the main number feels larger than it is, mostly because firms remember the last time a vendor moved the numbers first and set the system up later.

We do it the other way around. You walk us through how the front desk works today, including the awkward parts. We build the system on our side and test it before anyone’s number moves. You hear how calls will ring and you approve it. Then we move the numbers, switch the new system on, and train the people who answer.

Most firms start using RingFree in about ten to fifteen days. The exact timing depends on the size of the system and how much we need to work through with your team. Setup is a one-time charge, quoted for that system. After you start using it, ordinary changes stay included.

You tell us how the firm should sound when the main number rings. We build that. Then we watch what actually happens — who gets answered, who waits, who hits a closed greeting — and we recommend changes. You approve. We make them.

You can keep every number clients already have, and you don’t need a desk phone for every attorney. Reception may want a desk phone, while someone who’s rarely at a desk may just use the app. If someone wants both, that’s fine too.

Because RingFree is a cloud phone system, the office needs an internet connection. On the meeting we walk through what happens if the office connection drops, and a backup if you want one. If something breaks later, you email us or call (828) 575-0030. That help stays included.

Optional: AI Receptionist

You don’t need AI to use RingFree. Your staff can answer during the day and callers can leave a voicemail when the office is closed.

If you want something more after hours or when the front desk is busy, you can add AI Receptionist. It can greet callers, answer questions your office already answers, take a message, or send the call where you’ve told it to go. It is $149 per agent per month, with 500 minutes included and $0.35 after that. You hear it before a caller does.

Use it at night, when the line is busy, or not at all. Your front desk stays your front desk.
