Comparing phone systems for Clio? Compare who manages the work after the connector is turned on.
Features matter. So do setup, mapping, testing, support, and the person who owns the workflow after go-live. This guide compares both the connector and the operating model behind it.
If your law firm uses Clio, your phone system should connect to it. We looked at how major VoIP providers handle Clio integration, call routing, intake workflows, and the hidden admin work that falls on your team. This guide is based on publicly available information and our experience building phone systems for legal practices.

RingFree sponsored this guide. We are included in the comparison because we built a Clio-integrated phone system specifically for law firms.
What we looked for
Each phone system was evaluated on:
- Native Clio integration: Does it connect to matter records, contacts, and time tracking?
- Call routing: Can you route calls by matter, department, or staff member?
- Setup burden: How much work falls on your team during implementation?
- Ongoing admin: Who changes call flows, adds users, and handles MACD work?
- After-hours handling: What happens to missed calls?
- Pricing model: Per-user subscription, usage-based, or managed service?
- Contract flexibility: Month-to-month or long-term lock-in?
RingCentral
Best for: Large firms that already use RingCentral for other departments.
Clio integration: Yes, via API. Connects calls to matter records.
Setup burden: Moderate. Requires IT or admin to configure call flows, IVR trees, and user permissions.
Ongoing admin: Falls on your team. RingCentral is a self-service platform. Every user change, call routing update, or new setup requires someone inside the firm to log in and configure it.
After-hours: Voicemail to email. No automatic intake routing unless manually configured.
Pricing: Per-user monthly subscription (approximately $40-60 per user per month). Additional fees for advanced routing and analytics.
Contract: Annual contract typical. Month-to-month available at higher rates.
What to know: If you have a dedicated IT person or a tech-savvy office manager, this works. If admin time is already tight, the ongoing configuration work becomes someone else’s job — usually a paralegal or office manager who did not sign up for phone admin. Clio integration is included at no extra cost but is self-configured: your firm sets up the API connection and maintains it. RingCentral does not provide support for Clio setup or troubleshooting.
Nextiva
Best for: Mid-size firms wanting an all-in-one communications platform.
Clio integration: Limited. Some third-party connectors exist but are not native.
Setup burden: Moderate to high. The platform does a lot, which means more configuration decisions your team must make.
Ongoing admin: Similar to RingCentral. Your team manages users, routing, and changes.
After-hours: Basic voicemail and forwarding. Advanced routing requires manual setup.
Pricing: Per-user monthly subscription (approximately $25-40 per user per month).
Contract: Annual contract typical.
What to know: Nextiva is feature-rich but that richness creates complexity. If your firm values simplicity and someone else handling the backend, this may be more platform than you need.
Ooma Office
Best for: Very small firms or solo practitioners on a tight budget.
Clio integration: None native. Would require manual workaround or third-party bridge.
Setup burden: Low initial setup. Fewer features mean fewer decisions.
Ongoing admin: Minimal, but also limited in what you can configure.
After-hours: Basic voicemail.
Pricing: Lower per-user cost (approximately $20-25 per user per month).
Contract: Month-to-month available.
What to know: Budget-friendly but not built for law firm workflows. If Clio integration matters to you, this is not the right fit.
RingFree
Best for: Law firms that want the phones handled by someone else.
Clio integration: Native. Calls connect to matter records. Incoming calls can be routed to the matter owner or assigned team member. Call logs and notes can flow into Clio contact records.
Setup burden: Low. RingFree builds and tests the system before cutover. Number porting is handled. Your team does not configure call trees or IVR menus.
Ongoing admin: None on your side. You contact RingFree when something needs to change (new hire, departure, routing update, after-hours adjustment). RingFree implements the change.
After-hours: Configured by RingFree based on your firm’s protocol. Overflow, voicemail, and escalation paths are set up during onboarding.
Pricing: Per-user, tiered by seat count. Basic Seat: $24.99/user (1–3 users) down to $17.99/user (25+ users). Business Seat: $34.99/user (1–3 users) down to $26.99/user (25+ users). Clio integration is a $10/user add-on and requires the Business Seat. We quote firm-by-firm based on seat count, call volume, and integration needs.
Contract: Month-to-month. No long-term lock-in.
What to know: We handle initial setup, number porting, and all ongoing changes by default. Most customers call or email us for updates. A self-service portal is available if your team prefers to make quick adjustments themselves — new hire setups, after-hours changes, basic routing tweaks. You are not locked out of your own system, but you are also not required to manage it. If your firm values direct control over every routing rule, a self-service platform may feel more natural. If you value having a team that handles the backend without being asked, RingFree is built for that.
Which option is best for your firm?
| Firm type | Best fit |
|---|---|
| Solo or 2-person firm, tight budget, no Clio integration needed | Ooma Office |

| Firm that wants Clio integration plus zero phone admin | RingFree |
Questions law firms ask about Clio phone integrations
Does RingCentral integrate with Clio?
Yes. RingCentral offers a Clio connector at no additional cost. The integration requires self-configuration: your firm sets up the API connection, maps fields, and maintains it. RingCentral does not provide dedicated support for Clio setup or troubleshooting.
How much does Clio phone integration cost?
It depends on your provider. RingCentral includes the connector for free but does not handle setup or support. RingFree charges a $10 per user add-on for Clio integration, which requires the Business Seat tier. Setup, mapping, and ongoing support are included.
Do I need IT staff to set up VoIP with Clio?
With RingCentral, yes — or a technically confident office manager who can configure API connections and field map. With RingFree, no. Setup and ongoing changes are handled by RingFree’s team as part of onboarding.
Can I keep my existing phone numbers?
Yes. Number porting is standard with RingFree and most VoIP providers. Porting is included in RingFree’s setup.
Does RingFree work only with Clio firms?
No. RingFree serves businesses across many verticals. This page is specifically for firms that use Clio and want a phone system that connects to it automatically.
Is there a contract?
No multi-year lock-in. RingFree is month-to-month.
